Terms and Conditions for Events
1. Introduction
These terms and conditions govern your participation in the complimentary dental face-to-face consultation ("Event") organised by Ebitmax LTD ("the Organiser") in the United Kingdom on behalf of Armada Smile Dental Clinic Antalya/Turkey. By registering for and attending the Events, you agree to be bound by these terms and conditions.
2. Registration and Attendance
2.1 Registration for the Event is open to all individuals over the age of 18.
2.2 To register for the Event and receive a free dental consultation, you must complete the online registration form provided by the Organiser and indicate your interest in receiving a check-up.
2.3 The Organiser reserves the right to refuse registration or admission to the Event at its sole discretion.
2.4 Attendance at the Event is limited to registered participants and authorised personnel only.
3. Content of the Event
3.1 The Event will consist of free dental consultation which includes live demonstrations of dental treatments and procedures, as well as presentations by industry experts.
3.2 The Organiser will make all reasonable efforts to ensure that the content of the Event is accurate and up-to-date. However, the Organiser does not warrant or guarantee the accuracy, completeness, or suitability of any information or material presented at the Event.
3.3 The free dental consultation provided to participants is a basic examination only and does not include any further treatment or procedures.
3.4 The Organiser reserves the right to modify the content of the Event or cancel the Event at any time and for any reason.
4. Personal Data and Privacy Policy
4.1 The Organiser is committed to protecting the privacy and security of personal data provided by participants. By registering for the dental Event, participants acknowledge and agree that their personal data may be collected, stored, and processed by the Organiser in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR) tailored by the Data Protection Act 2018.
4.2 The personal data collected by the Organiser may include but is not limited to participants'
• Names,
• Phone numbers,
• Social media platforms to be contacted through, social media accounts, email addresses (if provided)
• Participant/patient correspondence before or at the time of consultation Event,
• Information concerning the participant's physical, mental, or oral health or condition,
• Information about the consultation (at the dental Event) that is planned, is being undertaken or has been provided,
• Information that the participant is or has been of the consultation Event or attended, cancelled or failed to attend an appointment on a certain day,
• Information about family members and personal circumstances supplied by the participants or others,
• Information about the treatment cost, deposit and discount agreed upon for any future treatment.
4.3. The Organiser will need only the name, email and phone number of participants that may be required for the appointment before the dental Event. We will only use this personal information for the purpose of setting a dental Event appointment.
4.4 The Organiser will not use participants' personal information for marketing purposes without their explicit consent.
4.5 The Organiser understands the importance of participants' privacy, and is committed to protecting participants' personal information. The Organiser will only collect and process personal information that is necessary to provide dental services to the participants.
4.6. The Organiser will not share participants' personal information with any third party, except when required by law or when necessary to provide dental services.
4.7 The Organiser will store participants personal information securely and will only keep it for as long as necessary.
4.8 The Organiser will collect and use personal data solely for the purpose of facilitating the organisation of the dental Event, communicating with participants, and providing information about dental treatment services in Turkey. The Organiser will retain this client information for up to one year from the date of collection. After the one-year period, the Organiser will securely dispose of or anonymise the data, ensuring compliance with privacy and data protection standards.
4.8.1 The Organiser may share personal data with its affiliated companies or third-party service providers to the extent necessary to achieve these purposes.
4.9 The Organiser will take appropriate technical and organisational measures to protect personal data against unauthorised or unlawful processing, accidental loss, destruction, or damage. The Organiser will also ensure that its affiliated companies and third-party service providers comply with these measures.
4.10 By registering for the introductory Event, participants consent to the Organiser's collection, storage, and processing of their personal data in accordance with these terms and conditions. Participants also acknowledge that they have read and understood the Organiser's privacy policy, which provides further details on the collection, use, and protection of personal data.
4.11 By providing the Organiser with their personal information, participants consent to the Organiser's processing of participants' personal information for the purpose of providing dental services.
4.12 Participants have the right to withdraw their consent at any time. However, it should be noted that this may affect the Organiser's ability to provide dental services to participants.
4.13 Participants have the right to access, correct, or delete their personal data by contacting the Organiser at info@ebitmax.co.uk
Participants also have the right to object to the processing of their personal data for marketing purposes or other legitimate interests. The Organiser will honour such requests to the extent required by applicable data protection laws.
5. Code of Conduct
5.1.Participants in the Event are expected to conduct themselves in a professional and respectful manner at all times.
5.2. Harassment or discrimination of any kind will not be tolerated. The Organiser reserves the right to remove any participant who engages in such behaviour from the Event and to prohibit that participant from attending any future events organised by the Organiser.
5.3 Participants are responsible for their own actions and any damage or injury they may cause to themselves or others.
6. Liability and Indemnification
6.1 The Organiser and its employees, agents, and contractors will not be liable for any direct or indirect damages, including but not limited to loss of revenue, profits, or data, arising from or related to the participant's attendance at the Event.
6.2 The participant agrees to indemnify and hold harmless the Organiser and its employees, agents, and contractors from any and all claims, damages, or expenses arising from or related to their attendance at the Event.
6.3 In the event of force majeure, including but not limited to acts of nature, government restrictions, or unforeseen circumstances beyond the Organiser's control, the Organiser reserves the right to modify, postpone, or cancel the Event without any liability. The Organiser will make reasonable efforts to inform participants of such changes in a timely manner.
7. Intellectual Property
71 The content presented at the Event, including but not limited to presentations, materials, and demonstrations, is the property of the Organiser or its licensors.
7.2 You may not reproduce, distribute, or use any of the content presented at the MeetUp without the prior written consent of the Organiser or its licensors.
8. Governing Law and Jurisdiction
8.1 These terms and conditions are governed by and construed in accordance with the laws of the United Kingdom, with specific consideration given to the legal systems of England, Wales, Scotland, and Northern Ireland. For matters involving the Republic of Ireland, Irish law shall also apply.
8.2 Any dispute arising from or related to these terms and conditions shall be subject to the exclusive jurisdiction of the courts of the United Kingdom and the Republic of Ireland. The venue for the resolution of any such dispute shall be determined as appropriate within England, Wales, Scotland, Northern Ireland, or the Republic of Ireland.
9. Entire Agreement
These terms and conditions constitute the entire agreement between you and the Organiser regarding your attendance at the Event and supersede all prior agreements or understandings, whether written or oral. By submitting this online form and providing your accurate name, phone, and email address, you consent to these terms, and it will be considered as signed.
